What type of phone numbers can you use with internet-based text messaging?

There are essentially three types of phone numbers you can use for business texting in the U.S. and Canada, and they work for virtual text messages as well: short codes, long codes, and toll-free numbers.

Short codes

Short codes are, as you might guess from the name, short numbers that use only 5 or 6 digits (sometimes 8 digits are also possible). They support multimedia messaging (MMS), bulk messaging, two-way messaging, and delivery receipts, but not voice. You’ve probably encountered them in the form of “text 74992 for P-I-Z-Z-A”. And it’s easy to see why they’re so popular: customers can remember them faster.

As short codes can handle high throughput volumes — up to 400 message segments per second (MPS) — they’re best-suited for high-volume messaging like marketing campaigns to a large number of recipients or important alerts that need to get through fast.

Keep in mind that there are some limitations to short codes as well. You can’t take or receive calls and they’re more expensive than other numbers. There are also stricter regulations to register a short code with a carrier and it takes longer to activate them (up to eight weeks vs. three days with another type of number).

Ten-digit long code (10DLC)

The ten-digit long codes (10 DLC) are a relatively new messaging standard in North America. A 10DLC gives your business a local phone number (with a regular area code). They support bulk messaging, two-way messages, voice and MMS, but not delivery receipts.

10DLCs have a lower throughput rate compared to short codes (typically from 1 to 75 MPS). So, while they support bulk messaging, they’re not ideal for fast or critical output. On the other hand, when your brand is focused on conversational messaging and really wants to deliver that personal one-on-one experience, 10DLCs are ideal.

They also face fewer regulations for setting up and you can get started in a few days (vs. weeks).

Toll-free numbers

Toll-free numbers are numbers with distinct three-digit area codes that can be dialed from landlines with no charge to the caller. SMS-enabled toll-free numbers support bulk messaging, two-way messaging, MMS, voice, and delivery receipts. Remember that users have to opt-in to receive messages from your business.

Can I send virtual text messages from or to a landline?

Yes!

You can enable a landline to receive text messages, without losing the ability to make or receive phone calls. When a customer sends an SMS to your landline number, it can be either put through as a voice call. Or, with call-to-text enabled, you’ll see the message in text form in your inbox.

Vice versa, it’s also possible to enable an existing or new toll-free number for texting. Even if you’re using a VoIP number, it’s possible to text from this number or reach customers on their virtual phone numbers through text.

What regulations do you need to keep in mind when using virtual SMS?

Depending on your business location and on the location of your customers, different regulations might apply. In the US, you’ll need to comply with the Telephone Consumer Protection Act (TCPA) as well as the CAN-SPAM Act. Depending on your customer base, you may also need to follow the California Consumer Privacy Act (CCPA). If you’re communicating with an international audience, other regulations like the GDPR in the European Union or the Data Protection Act in the UK might apply as well.

According to these laws, here are some of the rules you should follow to stay compliant:

• Always get prior consent (opt-in) before texting contacts.
• Make sure to provide an easy way to opt out of your messages as well.
• Don’t ever buy contact lists.
• Don’t use free link shorteners.
Identify yourself and clearly state the purpose of your message.
• Include unambiguous calls to action.
